Privacy policy

Draft effective date: October 5, 2026

Draft template for launch review. This is not a final lawyer-reviewed document. Legal review and confirmation of actual operating practices are required before launch.

Scope and responsibility

This draft describes information handled through RealtorSphere accounts, hosted realtor websites, and client portals. Realtors and brokerages are responsible for their own contact records and communications. Their site-specific notices may also apply.

Account and portal information

Account registration and portal use can involve your name, email address, authentication details, profile information, and verification status. These are used to provide access, maintain account security, and support your account. If you choose Google sign-in where available, Google supplies the identity information authorized during that sign-in flow.

Inquiries and contact records

Contact, tour, and other lead forms collect the details you submit, such as contact information, messages, property interests, and requested appointments. Submissions are made available to the relevant tenant or realtor for responding and managing the relationship. Avoid submitting sensitive information that is not needed for your request.

Saved listings, searches, and activity

Portal features store saved listings, search criteria, alert preferences, and related account activity. Website and listing engagement may be recorded to operate the service and help the relevant realtor respond to interests and inquiries. Information is associated with the applicable tenant’s site or portal.

Cookies and analytics

Essential cookies support sign-in, security, and saved preferences. Where a tenant enables optional analytics, cookies or similar storage may be used to measure site engagement according to the site’s available privacy controls. Browser controls can restrict cookies, but disabling essential cookies may prevent sign-in or other features. The final policy must identify the analytics tools actually deployed.

Email communications

The service may send verification codes, account messages, responses to requests, and configured listing alerts. Marketing communications require the applicable permission and opt-out process. Use available alert preferences or contact the sender to change subscriptions; essential account and security messages are separate.

Service providers and disclosure

Hosting, database, and email providers process information needed to operate their services. Resend may deliver transactional email when configured. Google handles sign-in if you choose that option. Stripe is planned for future billing; payment information would be handled through its checkout when billing is activated. Providers may process information outside your province or country. The final policy must confirm providers, processing locations, safeguards, and any legally required disclosures.

MLS/IDX information

Public listing data is displayed under applicable MLS/IDX permissions and brokerage notices. It is distinct from account and inquiry information. Display does not grant permission to copy or repurpose listing data. Contact the responsible real estate professional about listing corrections.

Retention, access, and deletion

Records may be retained to deliver requested services, maintain security, meet legal obligations, and resolve disputes. A final retention schedule, including backup handling, must be confirmed before launch. To request access, correction, deletion, or information about consent choices, contact the site operator or platform support. Requests may require identity verification and may be limited by legal retention obligations or others’ rights; deletion is not promised to be immediate.

Questions and updates

Contact the tenant or brokerage for questions about its client records and follow-up. Contact RealtorSphere support for platform account or privacy questions. Include the website name and enough information to locate your request, but never send passwords or verification codes. Material changes should be reflected in a new dated policy and communicated as appropriate.
